Receipt Bot mobile app is a bookkeeping assistant that assists in recording your day-to-day expenses in real-time so that you do not miss any tax claims at the period end due to missing receipts.

As an accountant, you can ask your clients to download the Receipt Bot app and submit their bills & receipts via Receipt Bot mobile app. This saves your client from the hassle of maintaining hard copies of the record and you get clean & extracted data exported in the accounting software.

To submit your documents via the Receipt Bot mobile application, follow the steps below:

Step 1 – Login to the Receipt Bot mobile app with your registered credentials and select the relevant business/entity in the Receipt Bot.

Note: If you have not yet registered to Receipt Bot, please refer to the following article to register an account on Receipt Bot.

If you are asking your clients to use the Receipt Bot mobile app for submitting their documents, invite them to the relevant business in your account. Please refer to the following article on managing users’ access to businesses in Receipt Bot.

Note: Receipt Bot allows you to manage multiple businesses under a single account. This feature is very useful for accountants who manage multiple businesses for external clients.

Step 2 – Tap on the plus “+” icon from the Dashboard page and capture an image of the document using the Receipt Bot camera app.

Note: If permission is not provided, you cannot upload new documents via a mobile app, so it is necessary to provide access to the camera and storage of the mobile device.

Please consider the following points when scanning documents via the Receipt Bot app:

  • Ensure there is sufficient light in the room.
  • Use a contrasting background, like for a white colour document use a black background so that the document is visible.
  • Ensure that all edges of the document are within the frame.

In the case of the android, captured images are stored in your device in the folder named “Receipt Bot” and you can delete the images stored locally to clear storage in your device.

Step 3 – The system will show a preview of the picture taken for confirmation.

Note: The system will automatically rotate and crop the image scan if required but you can also perform this action manually using the crop and rotate options.

Once confirmed, your document will be uploaded and added to the queue for the data extraction process in Receipt Bot.

Additional Features related to document upload from Mobile

Receipt bot mobile apps provide some additional features that make the document scanning process more efficient for you.

Continuous Upload

This feature allows you to continuously scan your documents with the Receipt Bot mobile app and pushes all the app activity in the background which allows you to take pictures quickly.

If you upload more than one document, then you do not have to wait until the previous one is uploaded. Just capture your images in one go and the system will queue them for uploading.

Additional Transaction Notes

The feature allows you to store additional information related to a transaction. This feature is useful when some information is missing on the scanned document like in some cases the VAT/GST rate is missing on the picture, you can simply specify the applied rate when submitting your document. Or you can simply add a note for yourself that will be available as a description once the data is extracted.

Recent Uploads

Receipt Bot makes uploading documents via the mobile app quick and efficient by storing files locally on your device. This allows you to continue using the app or uploading additional documents while the uploads happen seamlessly in the background.

Note: If you frequently upload a large number of documents, you may notice the app becoming slow. This is because the files are stored locally on your device. To improve the app’s performance, you will need to clear the files stored locally.

To clear the locally stored files, follow these steps:

  1. Navigate to the Recent Uploads page from the Business menu.
  2. Click the “Clear History” button.

This action will remove the documents only from your device. Rest assured, all data is safely stored on the cloud and can be reviewed from the Expenses page. By clearing the local files, you can ensure that your app continues to run smoothly while keeping your documents securely stored in the cloud.

Frequently Asked Questions


Receipt Bot saves all the captured documents in the folder named “Receipt Bot” on your device. Once the documents are uploaded to the server, you can delete them from your device to free up space.

You can review the “Recent uploads” page in the Receipt Bot mobile app to delete the documents on your device. Review the following video on the steps for deleting the captured documents from your device.


Document upload can fail during the background which can result in transactions not being recorded in your accounting software. The system retries upload twice for all failed captures in the past 24 hours automatically and the app also notifies you about such failures so you can re-attempt them manually.

You can check the documents for which the upload failed from the Recent Uploads page or the Expense page in the Receipt Bot mobile app.

Note: The recent upload data is stored at the device level and the failed document upload attempts will appear only on the device which was used to take the picture using the Receipt Bot mobile app.
