Receipt Bot mobile app is a bookkeeping assistant that assists in recording your day-to-day expenses in real-time so that you do not miss any tax claims at the period end due to missing receipts.

As an accountant, you can ask your clients to download the Receipt Bot app and submit their bills & receipts via Receipt Bot mobile app. This saves your client from the hassle of maintaining hard copies of the record and you get clean & extracted data exported in the accounting software.

Upload documents from Receipt Bot mobile app

You have two options to submit your documents via the Receipt Bot mobile application:

  1. Camera Upload
  2. File Manager Upload

Camera Upload

Step 1 – Login to the Receipt Bot mobile app with your registered credentials and select the relevant business/entity in the Receipt Bot.

Note: If you have not yet registered to Receipt Bot, please refer to the following article to register an account on Receipt Bot.

If you are asking your clients to use the Receipt Bot mobile app for submitting their documents, invite them to the relevant business in your account. Please refer to the following article on managing users’ access to businesses in Receipt Bot.

Note: Receipt Bot allows you to manage multiple businesses under a single account. This feature is very useful for accountants who manage multiple businesses for external clients.

Step 2 – Tap on the plus “+” icon from the Dashboard page and click the “Camera” option.

Note: If permission is not provided, you cannot upload new documents via a mobile app, so it is necessary to provide access to the camera and storage of the mobile device.

Step 3 – After selecting the camera option, you will have the choice to scan either:

  • Single Document: All pages will be combined as one document.
  • Multiple Documents: Each page will be treated as a separate document.

Please consider the following points when scanning documents via the Receipt Bot app:

  • Ensure there is sufficient light in the room.
  • Use a contrasting background, like for a white colour document use a black background so that the document is visible.
  • Ensure that all edges of the document are within the frame.

To save your documents to your gallery, enable “Save to Gallery” in the settings menu. For Android users, captured images are stored in a folder named “Receipt Bot” on your device. You can delete these locally stored images anytime to free up storage space.

Step 4 – The system will show a preview of the picture taken for confirmation.

Note: The system will automatically rotate and crop the image scan if required but you can also perform this action manually using the crop and rotate options.

Once confirmed, your document will be uploaded and added to the queue for the data extraction process in Receipt Bot.

File Manager Upload

Step 1 – Login to the Receipt Bot mobile app with your registered credentials

Step 2 – Tap on the plus “+” icon from the Dashboard page and click the “File Manager” upload.

Step 3 – Choose any PDF or image of invoices, receipts, or statements that you want to extract.

Note: You can upload invoices, bills, receipts, and statements. However, the mobile app only displays transactions related to receipts and invoices. To view other document extractions, please use the web app.

Step 4 – Add the transaction details about your last invoice/receipt here.

Note: All fields are optional. If left blank, it will be updated by the system.

Additional Extraction Settings

Receipt bot mobile apps provide some additional extraction that make the document uploading/ scanning process more efficient for you.

Block Duplicate File Upload
The app automatically detects duplicate files during the upload process, preventing you from accidentally uploading the same document multiple times.

Auto Delete Duplicate Documents
For added convenience, Receipt Bot can also automatically delete duplicate documents, saving you time and storage space.

Auto Reclassify
The Auto Reclassify feature enables the app to analyze and categorize uploaded documents based on their content, ensuring they are accurately organized within the correct modules.

Crop/Split Documents
Use the Crop/Split function to trim document edges or divide multi-page files into separate pages, allowing for better document clarity and organization.

Upload History
You can view your upload history from the “Document Tab” on the dashboard for a detailed record of all uploaded files, with options to filter and easily locate specific documents.

Receipt Bot makes uploading documents via the mobile app quick and efficient by storing files locally on your device. This allows you to continue using the app or uploading additional documents while the uploads happen seamlessly in the background.

Note: If you frequently upload a large number of documents, you may notice the app becoming slow. This is because the files are stored locally on your device. To improve the app’s performance, you will need to clear the files stored locally.

To clear the locally stored files, follow these steps:

  1. Navigate to the Recent Uploads page from the Business menu.
  2. Click the “Clear History” button.

This action will remove the documents only from your device. Rest assured, all data is safely stored on the cloud and can be reviewed from the Expenses page. By clearing the local files, you can ensure that your app continues to run smoothly while keeping your documents securely stored in the cloud.

Frequently Asked Questions

Q: What types of documents can I upload on the Receipt Bot mobile app?
A: You can upload invoices, bills, receipts, and statements via the app. However, the mobile app displays only receipts and invoices. To view extractions for other document types, use the web app of Receipt Bot.

Q: Can I upload multiple pages as a single document?
A: Yes, you can. When using the Camera Upload option, select Single Document to combine multiple pages as one document. If you prefer each page as a separate document, choose Multiple Documents instead.

Q: Can I upload both PDFs and images to Receipt Bot?
A: Yes, the app supports PDFs and image files for invoices, receipts, and other statements. Simply choose the relevant file type from the File Manager upload option.
