Generate Reports from Scanned Bills, Receipts and Invoices

You can quickly analyze your data using the automated reports in Receipt Bot. The reports are available once the data is extracted from scanned copies of your bills, receipts, sale invoices, and customer or supplier statements. These reports can quickly evaluate monthly costs/revenue and provide a breakdown by different dimensions.

This article provides a step-by-step guide to generating reports from the data extracted from bills, receipts, sale invoices, and other submitted documents.

It is essential to complete the following steps before generating reports:

  • You have uploaded the necessary documents.
  • The uploaded documents have been processed successfully.

Step 1 – Navigate to the Reports page from the Business menu.

Step 2 – Select the type of report you want to view.
Receipt Bot offers the following four types of reports, each providing a different perspective on your data:
Summary By Category: Provides a breakdown of total cost or revenue grouped by categories or chart of accounts.
Summary By Contact: Provides a breakdown of total cost or revenue grouped by customer/supplier.
Summary By User: Provides a breakdown of total cost or revenue grouped by user who submitted the document. It is useful to manage expense claims in the Receipt Bot.
Summary By VAT: Provides a breakdown of VAT amount grouped by VAT/GST rate.

Step 3 – Select the date range for the reports. (By default, it is the previous 365 days)

Step 4 – You can apply filters based on the following fields by clicking the filter icon:
Module: To view purchases, sales, or both types of documents.
Record As: A transaction is recorded as expense or bill or error. Example: This filter can exclude errors and duplicate documents from the reports.
Doc Status: You can filter the report by the following document statuses: processing, processed, approved, and exported.
Doc Type: You can filter the report by the doc types or title. Example: You can use this filter to exclude checks.
Contact: You can filter the report for a specific customer or supplier.
Year: You can also filter by the year in which the invoice was issued. Pro-tip: If you want to compare the expenses in a specific month between different years, you can use this filter in conjunction with the Month filter.
Month: You can filter the report by the month in which the invoice was issued.

Step 5 – You can sort the data in reports by clicking the arrow icon.

Step 6 – Click the “Download Excel” icon located at the top right corner of the page.

Your customized report will be downloaded in Excel format for offline analysis.

Receipt Bot Mobile Apps currently do not support features related to viewing or downloading sales and purchase reports. To access reports, please use the web version of Receipt Bot.
